Email signature

Let's make your email signature

This takes about two minutes. We'll ask a few simple questions, then show you exactly where to put it in Outlook.

You don't need to type any code or change any settings yourself until the very end, and we'll walk you through that one click at a time.

What's your name?

Your first name and surname, as you'd like people to see it.

What's your job title?

This appears in grey, just after your name.

Is this your email address?

We've guessed it from your name. If it's not quite right, change it in the box.

Do you have a work mobile?

Only add it if you're happy for customers to ring it.

Check it, then copy it

Have a look at your signature on the right. If anything's wrong, press Back to fix it.

When it looks right, press the big button. This copies your signature, ready to paste into Outlook.

How do you open your email?

Pick the one that looks most like yours. You can come back and do the others afterwards.

I'm not sure which one I have

Look at the very top left corner of Outlook. If you can see the word File, you have Classic Outlook. If you can't, but there's a cog ⚙️ near the top right, choose the web browser / new Outlook option. If in doubt, try the web option first.

Put it in Outlook

Last thing: send yourself a test

Start a new email. Your signature should appear on its own. Send it to yourself and check it looks like the preview.

Signature not appearing? It may not be set as your default. Go back one step, and check the part about choosing it for new messages. (It won't appear when you reply or forward. That's on purpose.)
Pictures missing in the email you received? Some email programs hide pictures until you click "Download pictures" or "Show images". That's normal and other people will see them.
